1. Why EMR contracts exist

Because onboarding costs the vendor money up front, and a term lets it recover that cost from clinics that would otherwise leave early.

That is a real cost, and a vendor that offers month-to-month has to recover it some other way, usually an activation or setup fee. The honest comparison is not contract against no contract; it is how each vendor pays for onboarding, and how much of the risk sits with you.

2. The terms that matter more than the word “contract”

Five clauses decide what leaving actually costs.

Clause What to look for Aminova monthly
Term length One, two or three years, often in the order form only None; month-to-month
Auto-renewal Renews for a full term unless you give notice Renews monthly; cancel any time
Notice period 30 to 90 days in writing before renewal Cancel in Settings
Early termination Pay the remaining months, or a fixed fee None
Data on exit Export fees, read-only archive charges, a deadline Full export free, any time, including after you leave

A vendor can be month-to-month on the website and still have a renewal clause in the order form. Ask for the order form before the demo ends.

3. Annual billing is not the same as an annual contract

Paying yearly for a discount is a choice; being locked in for a year is a term.

Aminova offers both monthly and annual billing. Annual Prescribing is $1,990 a year, two months free against $199 a month, and annual plans are paid a year at a time. That is a commitment you choose for the saving, and you can start monthly and switch later. Monthly plans stay month-to-month.

Monthly Annual
Prescribing, 1 prescriber $99/mo for 3 months, then $199/mo $1,990/yr
Each extra prescriber $99/mo $990/yr
Start-up $0 for 3 months (first 100 clinics), then $99/mo $990/yr after the 3 free months
Activation $250 on Prescribing, none on Start-up $250 on Prescribing
Commitment Cancel any time Paid a year at a time

4. What month-to-month costs you

Usually an activation fee, and sometimes a higher monthly rate than a contracted plan.

On Aminova the activation is $250 on the Prescribing plan, charged when you open your account. It covers setting up e-prescribing with you and moving your data from your current system. Your monthly plan starts the day you go live, not the day you pay the activation. For the full first-year arithmetic, see low-cost EMR: the year-one total.

5. Questions to ask any EMR vendor before you sign

Ask them in writing, and keep the answers with the order form.

Is there a minimum term? Does the plan auto-renew, and for how long? How much notice do I give, and how? Is there an early-termination fee? Can the price rise at renewal, and by how much? What do I get on the day I leave, in what format, and is there a fee? Who owns the data?

If you are weighing an offer to buy out an existing contract, EHR switching promotions and discounts works through which ones save money over three years.

6. Frequently asked questions

Is there an EMR with no contract?
Yes. Aminova’s monthly plans are month-to-month with no long-term contract, and you can cancel any time.

Can I cancel Aminova any time?
Yes, on monthly billing. Annual plans are paid a year at a time. A full export of your data is free at any time, including after you leave.

Why do some EMRs require annual contracts?
To recover onboarding costs over a guaranteed term. Month-to-month vendors usually recover them through an activation fee instead.

What is an EMR early-termination fee?
A charge for leaving before the end of a contract term, often the remaining months or a fixed amount. Check the order form, not just the website.

Is annual billing a contract?
It is a choice to pay a year at a time for a discount. On Aminova, annual Prescribing is $1,990 a year, and you can start monthly and switch later.
