1. What does the Healthie export contain?
Clients as a CSV, chart notes and documents as PDFs, and a bulk ZIP of notes and documents on request.
| Data | How it comes out | What to know |
|---|---|---|
| Client list | Client List report, CSV | Imports cleanly into any system that reads CSV. |
| Chart notes and documents, in bulk | Request form, delivered as a ZIP to the account’s Documents | Only the account owner can request it, and Healthie says it takes time. Request it first. |
| Single notes, documents, templates | Useful for spot-checking the bulk export. | |
| Appointments | Appointments report | Exported separately from the client data. |
| Structured clinical record | C-CDA, one client at a time from Charting | Healthie documents a separate “Download Client EHI” option for Enterprise customers. |
| Credit cards | Not exported | Healthie states it does not support exporting card details. Re-collect cards. |
| Chat messages, wearable data | Not included | Save anything clinically relevant into the chart before you leave. |
Healthie’s ONC pages list certification including 170.315(b)(10), and describe a self-serve electronic health information export for one patient or many.
2. The one rule: export before you cancel
Healthie states that after cancelling you lose access, and that it cannot export or transfer client data at that point. The data is still retained — Healthie keeps it for at least six years and restores it if you reactivate — but getting it out means reactivating.
| Step | When |
|---|---|
| Request the bulk notes and documents ZIP (account owner) | Day 0 |
| Run the Client List and Appointments reports | Day 0 |
| Save chat content that belongs in the chart | Week 1 |
| Import, then check the notes against a sample of PDFs | When the ZIP arrives |
| Cancel | Only after the import checks out |
When a vendor may and may not charge for an export is covered in what it costs to leave your EHR.
3. What does a Healthie migration cost?
Healthie publishes no export fee. The cost is staff time.
| Cost item | Range | What drives it |
|---|---|---|
| Healthie export | No fee published | The reports and the bulk request are part of the product. |
| Receiving platform import | $0–$500 | Some platforms include the import in onboarding. |
| Rebuilding programmes, forms and templates | 8–20 hours | Programme-led practices have the most to rebuild. |
| Checking the import | 4–10 hours | Comparing notes, allergies and medications against the source. |
| Reconnecting labs, e-Rx and payments | 2–6 hours | Each connection is re-made on the new side. |
4. What breaks during the switch?
The standard four, plus conversations that lived in chat.
| What breaks | Why | How to handle it |
|---|---|---|
| Chat history | Healthie’s data export does not include chat messages. | Copy anything clinically relevant into a chart note before the export. |
| E-prescribing pauses | The prescriber’s e-prescribing and EPCS enrolment belong to the old system’s network account. The new system enrols them again, and identity proofing takes 1–3 business days. | Start the new enrolment two weeks before cutover. Overlap, never gap. |
| Lab results come back to the old system | Orders placed from Healthie route their results back to Healthie. | Stop ordering from Healthie in the final week and keep logging in until every pending result has arrived. |
| Patients have to sign in again | Portal and app logins belong to the system that issued them. | Send the new invitation as part of the switch announcement, not after it. |
| Saved cards and memberships stop | Card-on-file tokens belong to the old payment processor and do not export. | Re-collect cards and re-enrol memberships in the new system before you cancel. |
5. What does the switching timeline look like?
Three weeks once the bulk export has arrived.
| Week | What happens |
|---|---|
| Week 1 | Run every export from Healthie while the account is fully active. Start rebuilding templates and forms in the new system. Start e-prescribing enrolment for every prescriber. |
| Week 2 | Import. Check demographics, allergies and medications against the source for a sample of charts. Reconnect labs and payments. Send patients the new portal invitation. |
| Week 3 | Parallel run: new bookings go into the new system only. Catch results still arriving in Healthie. Re-enrol recurring billing. At the end of the week Healthie becomes a read-only archive. |
