1. The real difference is where the note lands

A built-in scribe writes into the chart; a separate one writes into its own window, and someone moves it.

Included in the EMR Standalone scribe
Where the draft appears In the visit note, in the chart In the scribe’s app, then copied or synced
Patient context The EMR knows the visit type Depends on the integration
Logins One Two
BAAs to sign One, with the EMR vendor Two, and you manage both
Consent records On the chart In the scribe’s system, or on paper
Billing On the EMR invoice A second subscription

Copying a note is a small task that happens on every visit. Over a year it is hours of a provider’s time and a steady chance of pasting into the wrong chart.

2. What each approach costs

Inside an EMR, scribes are now commonly included or a modest add-on.

As published in October 2026: Aminova includes one AI scribe seat with Prescribing and sells extra seats at $49/mo, with fair use of 100 scribed hours per seat per month, then $0.50 an hour. Jane lists its AI Scribe at $15/mo per practitioner who opts in. DrChrono’s pricing page lists its scribe as an add-on on Foundation and Growth and part of Premium, without a published price.

Standalone scribes are priced per provider per month and vary widely; compare the total with your EMR’s own option and the time spent moving notes, not just the subscription.

Clinic on Aminova Scribe seats Monthly, after the intro period
1 prescriber 1 (included) $199
2 prescribers, both scribing 2 $199 + $99 + $49 = $347
1 prescriber + 1 non-prescribing provider scribing 2 $199 + $49 = $248

A scribe seat can belong to any provider who sees patients, not only a prescriber, which is why seats and prescribers are counted separately.

3. What to check in any AI scribe, included or not

Three things matter more than the price.

It should draft and never file: the provider reviews, edits and signs, and an unsigned draft never becomes part of the record. It should send the model as little as possible: Aminova’s scribe sends the transcript with age, sex and visit type, and never the patient’s name, record number or date of birth. And it should require recording consent: on Aminova, no consent on file means no transcription. More on our AI page.

Consent rules vary by state; see AI scribe consent requirements.

4. When a separate scribe still makes sense

When your EMR has no scribe, when you are staying on that EMR for other reasons, or when you need something specific the built-in one does not do.

If your EMR is right for you in every other way, adding a standalone scribe is cheaper than switching systems. The case for an included scribe is strongest when you are choosing an EMR anyway, because then the scribe is one more reason to pick a system that keeps everything on one chart.

5. Frequently asked questions

Which EMRs include an AI scribe?
Aminova includes one AI scribe seat with its Prescribing plan. Some EMRs sell a scribe as an add-on, and some include it on higher plans; check each vendor’s pricing page.

How much does an extra AI scribe seat cost on Aminova?
$49/mo per seat, with fair use of 100 scribed hours per seat per month, then $0.50 an hour.

Is a built-in AI scribe better than a standalone one?
It removes copying between systems, a second login and a second BAA. A standalone scribe can still be the right choice if you are staying on an EMR that has none.

Does the AI scribe file notes automatically?
Not on Aminova. It produces a draft that the provider reviews, edits and signs; unsigned drafts never become part of the record.

Does the patient need to consent to an AI scribe?
Many states require consent to record a conversation. Aminova requires a recording consent on file before it will transcribe.
